Part Time Special Events Coordinator

Penn State Schuylkill Business Services is seeking applicants for a Part Time Special Events Coordinator.
The Part Time Special Event s Coordinator will perform consultative services in planning of events; generate event work orders and communicate with internal and external stakeholders; troubleshoot and resolve issues with clients to make arrangements for group meetings or events; manage inventory of materials and supplies; demonstrate a commitment to deliver superior quality customer service, a high level of performance, the ability to work with diverse customers, and the ability to work collaboratively, problem solve, and work in teams.

Job Duties

Assist in and participate in planning and implementing campus-wide events, seminars, symposiums, conferences, and special themed events, including Commencement.
Collaborate with the Director of Business Services to examine business processes and procedures within the office and recommend improved efficiency and strategic initiatives. Collaborate across the campus to ensure best practices
Serve as one of the lead staff members for planning for academic ceremonies.
Submit and manage software entries such as work order requests and room reservations related to special events.
Manage campus event space such as Morgan Auditorium, Fryer Conference Center, and other campus venues.
Complete external customer paperwork for facility usage. Verify that insurance indemnification is supplied to the Office of Risk Management along with other forms .
Manage external caterers list per University policy.
Serve as campus point of contact for community requests.
Work closely with Maintenance and Operations, University Police and Public Safety, Information Technology and Food Services/Catering to relay event information.
Serve as back-up data manager for 25-Live, the campus space reservation system.
Provide general support for the Business Services Office as needed.

Position is part-time, 20-24 hours a week with flexible schedule . Depending on events, may include occasional evening and weekend hours. Apply electronically ( ). Applications will be reviewed until the position is filled.
